Policies & Client Terms
Clear expectations create a better experience.
The policies below outline the terms that apply when visiting the Imagery Consulting website, scheduling an appointment, purchasing a service, or working with Imagery Consulting. Please review the policies relevant to your service before booking or submitting payment.
Certain projects, packages, creative services, or extended engagements may also include a separate proposal, invoice, scope of work, or service agreement. When a signed agreement contains terms specific to a project, those terms will apply to that engagement.
Booking Policy
Imagery Consulting offers both complimentary introductory consultations and paid professional services. Because paid services may require research, analysis, preparation, sourcing, or other work before an appointment begins, different booking terms apply to complimentary and paid appointments.
Please review the policy that corresponds with your booking. By completing a booking, you acknowledge the applicable booking policy and any service-specific terms presented during checkout.
Complimentary Consultation Policy
Imagery Consulting offers both complimentary introductory consultations and paid professional services. Because paid services may require research, analysis, preparation, sourcing, or other work before an appointment begins, different booking terms apply to complimentary and paid appointments.
Please review the policy that corresponds with your booking. By completing a booking, you acknowledge the applicable booking policy and any service-specific terms presented during checkout.
POLICY 1 — COMPLIMENTARY CONSULTATION BOOKING POLICY
By scheduling a complimentary consultation with Imagery Consulting, you acknowledge and agree to the following booking terms.
Booking Confirmation
Your consultation is confirmed only after you receive a booking confirmation by email, text message, or another confirmation method provided through the booking platform.
Please review the appointment date, time, time zone, location, and meeting format before completing your booking. Appointment times are displayed in the time zone shown during the booking process. Clients are responsible for confirming that the selected time is correct.
Imagery Consulting may request that you complete an introductory questionnaire or provide basic information before your consultation. Failure to submit requested information may limit what can be discussed during the appointment.
Purpose of the Consultation
A complimentary consultation is an introductory conversation intended to help Imagery Consulting understand your goals, needs, current image or brand, and potential service requirements.
The consultation may also be used to discuss service compatibility, general expectations, potential next steps, available services, and introductory questions about the Imagery Consulting process.
A complimentary consultation does not include a completed personal brand analysis, personal style analysis, body architecture analysis, creative direction plan, mood board, shopping list, written strategy, wardrobe plan, or other professional deliverable unless expressly stated in the service description.
Any recommendations discussed during the consultation are preliminary and may change after additional research, analysis, measurements, questionnaires, photographs, or client materials are reviewed.
Cancellation and Rescheduling
Complimentary consultations may be canceled or rescheduled online up to 24 hours before the scheduled start time.
Clients should use the Manage Booking, Cancel, or Reschedule link included in their booking confirmation or reminder whenever available.
Each client is permitted one complimentary reschedule.
A rescheduled consultation must be moved to an available appointment time displayed in the booking calendar. Preferred appointment times are not guaranteed.
Requests made less than 24 hours before the consultation may no longer be eligible for online rescheduling and should be submitted directly to Imagery Consulting.
Late Cancellations
Because consultation times are reserved specifically for each prospective client, cancellations made less than 24 hours before the scheduled start time will be considered late cancellations.
There is no monetary cancellation fee for a complimentary consultation. However, a client who cancels with less than 24 hours' notice may be required to receive approval before scheduling another complimentary consultation.
Imagery Consulting may require a paid consultation after repeated late cancellations.
No-Shows
A client may be considered a no-show when the client:
-
Does not attend the scheduled consultation;
-
Does not join a virtual meeting within 15 minutes of the scheduled start time;
-
Does not arrive at an agreed location within 15 minutes;
-
Does not provide notice before the appointment; or
-
Cannot reasonably be reached using the contact information provided during booking.
A missed complimentary consultation does not result in a monetary charge.
However, a client who misses an appointment may lose eligibility for another complimentary consultation. Imagery Consulting may require a paid consultation or advance approval before accepting another complimentary booking from a client who has previously missed an appointment.
Late Arrivals
Clients should arrive or join their consultation at the scheduled start time.
A late arrival does not automatically extend the consultation. The appointment may be shortened to avoid affecting subsequent appointments.
Clients who arrive or join more than 15 minutes late may be considered a no-show and the consultation may be canceled.
When scheduling permits, Imagery Consulting may continue with the remaining portion of the consultation, but the original ending time will normally remain unchanged.
Virtual Appointments
For virtual consultations, clients are responsible for having access to the meeting link provided in their confirmation, a reliable internet connection, functional audio equipment, and a camera when required.
Clients should join from a reasonably quiet and appropriate environment and access or install any required meeting software before the scheduled appointment.
Clients experiencing technical difficulties should contact Imagery Consulting as soon as possible.
When a significant technical issue is caused by Imagery Consulting or the designated meeting platform, Imagery Consulting may provide a reasonable extension or complimentary reschedule.
Technical difficulties caused by the client's device, internet connection, software, or environment may be handled according to the standard cancellation and rescheduling terms.
Client Information and Materials
Clients are responsible for providing complete, current, and accurate information during the booking and consultation process.
Imagery Consulting may request information concerning the client's goals, profession, lifestyle, visual identity, personal brand, upcoming project, wardrobe, or creative needs.
Clients should submit only photographs, documents, inspiration images, brand assets, and other materials they own or have permission to share.
Submitted information will be used to prepare for and conduct the consultation in accordance with the Imagery Consulting Privacy Policy.
Recording and Confidentiality
Clients may not photograph, record, livestream, reproduce, publish, or distribute a consultation without prior permission from Imagery Consulting and everyone participating in the session.
Imagery Consulting will treat client information with professional care. A complimentary consultation does not create an attorney-client, medical, mental-health, fiduciary, employment, or other regulated professional relationship.
Service Recommendations and Pricing
Any service, pricing, package, timeline, or availability discussed during a complimentary consultation remains subject to written confirmation.
A complimentary consultation does not reserve a future project date or guarantee that Imagery Consulting will accept a proposed engagement.
Paid services may require additional booking, payment, a deposit or retainer, questionnaires, assessments, project information, a proposal, invoice, scope of work, or signed service agreement.
Prices and availability may change until a service, proposal, booking, or agreement has been formally accepted.
Changes Made by Imagery Consulting
If Imagery Consulting must cancel or substantially change a complimentary consultation, the client will be offered a complimentary reschedule.
Imagery Consulting is not responsible for indirect costs or losses resulting from the rescheduling of a complimentary consultation.
Imagery Consulting reserves the right to refuse, discontinue, or end a consultation because of unsafe, threatening, abusive, discriminatory, harassing, fraudulent, or otherwise inappropriate conduct.
Third-Party Booking Platforms
Consultations may be scheduled through the Imagery Consulting website, Wix, Google, Facebook, Instagram, or another authorized booking link.
Third-party platforms may facilitate access to the booking system, but the consultation itself is provided by Imagery Consulting.
Clients should follow the cancellation and rescheduling instructions provided in their booking confirmation. If information displayed by a third-party platform appears to conflict with the confirmation or policies provided by Imagery Consulting, clients should contact Imagery Consulting promptly for clarification.
Acceptance of Policy
By completing a complimentary consultation booking, you acknowledge that you have reviewed and accepted this Complimentary Consultation Booking Policy.
Nothing in this policy limits any consumer right or remedy that cannot legally be waived.
Paid Appointments & Consulting Policy
This policy applies to paid consulting appointments, analysis services, styling sessions, creative-direction sessions, and other paid services booked through Imagery Consulting unless a service-specific agreement states otherwise.
POLICY 2 — PAID APPOINTMENT & CONSULTING SESSION BOOKING POLICY
By scheduling or purchasing a paid appointment, analysis, consultation, styling session, creative-direction session, or other professional service from Imagery Consulting, you acknowledge and agree to the following booking terms.
Booking Confirmation
A paid appointment is confirmed only after the booking has been successfully submitted, you have received a booking confirmation, and any required payment, deposit, retainer, questionnaire, agreement, or supporting information has been completed.
Submitting a booking request does not guarantee acceptance when manual approval is required.
Please review the appointment date, time, time zone, meeting format, location, service selection, and payment information before completing your booking.
Appointment times are displayed in the time zone shown during checkout. Clients are responsible for confirming that the selected appointment time is correct.
Payments
Payment requirements vary depending on the service.
Imagery Consulting may require full payment at booking, partial payment, a deposit, a retainer, payment according to an invoice, or another payment arrangement clearly disclosed before purchase.
The payment terms displayed on the service page, checkout page, invoice, proposal, or client agreement apply to the selected service.
A payment is not considered complete until it has been successfully processed and accepted.
Clients are responsible for providing current and valid payment information.
Cancellation and Rescheduling Deadline
Paid appointments may be canceled or rescheduled without a late-cancellation fee when notice is provided at least 48 hours before the scheduled start time.
Clients should use the Manage Booking, Cancel, or Reschedule link included in their confirmation or reminder whenever available.
When online cancellation or rescheduling is no longer available, clients should contact Imagery Consulting directly.
A cancellation or rescheduling request is considered received when it has been successfully submitted through the booking platform or acknowledged by Imagery Consulting.
Complimentary Rescheduling
Each paid appointment includes one complimentary reschedule when the request is made at least 48 hours before the scheduled start time.
The replacement appointment must be selected from available booking times. Imagery Consulting cannot guarantee that a preferred replacement date or time will be available.
Additional rescheduling requests may be treated as cancellations and may require a new booking or additional fee.
An appointment generally may not be rescheduled more than once unless Imagery Consulting provides approval.
Cancellations Made At Least 48 Hours in Advance
For cancellations made at least 48 hours before the scheduled start time, the client may be eligible for one complimentary reschedule, a refund of the eligible appointment payment, or a credit toward another qualifying Imagery Consulting service.
The available option may depend on the service purchased and the amount of preparation already completed.
Clearly disclosed retainers, deposits, preparation fees, completed work, purchased goods, sourced merchandise, processing fees, or third-party expenses may be non-refundable.
Approved refunds will generally be returned to the original payment method. Processing times are determined by the applicable payment provider and financial institution.
Cancellations Made Between 12 and 48 Hours in Advance
Cancellations or rescheduling requests made between 12 and 48 hours before the scheduled start time may be subject to a late-cancellation fee of up to 50% of the scheduled service price.
When the client has already paid in full, Imagery Consulting may retain the applicable cancellation amount and refund or credit the remaining eligible amount.
When the amount already paid is less than the applicable cancellation fee, the remaining balance may be charged to an authorized payment method, invoiced to the client, or required before another appointment may be scheduled.
Clearly disclosed non-refundable retainers, preparation fees, completed work, or non-recoverable project expenses may also remain payable.
Cancellations Made Less Than 12 Hours in Advance
Cancellations or rescheduling requests made less than 12 hours before the scheduled start time may be charged up to 100% of the scheduled service price.
The payment may be retained because the appointment time was reserved specifically for the client and may not reasonably be filled on short notice.
No refund, credit, or complimentary reschedule is guaranteed for a cancellation made less than 12 hours before the appointment.
Imagery Consulting may make reasonable exceptions for emergencies or extraordinary circumstances at its discretion. An exception made in one circumstance does not create an obligation to provide the same exception in the future.
No-Shows
A client may be considered a no-show when the client:
-
Does not attend the scheduled appointment;
-
Does not join a virtual appointment within 15 minutes;
-
Does not arrive at an agreed location within 15 minutes;
-
Does not provide notice before the scheduled start time;
-
Cannot reasonably be reached using the contact information provided; or
-
Fails to provide essential information or materials when the service cannot reasonably proceed without them.
No-shows may be charged up to 100% of the scheduled service price.
Payments made for a missed appointment are generally non-refundable and non-transferable.
Any unpaid no-show amount may be required before another service may be booked.
Repeated no-shows may result in advance-payment requirements, booking restrictions, or refusal of future service.
Late Arrivals
Clients should arrive or join their appointment at the scheduled start time.
A late arrival does not automatically extend the appointment. The session may be shortened to avoid affecting subsequent appointments.
The full service price remains payable when a session must be shortened because of the client's late arrival.
Clients who arrive or join more than 15 minutes late may be considered a no-show and the appointment may be canceled.
When scheduling permits, Imagery Consulting may continue with the remaining portion of the appointment, but the original ending time will generally remain unchanged.
Advance Research and Preparation
Many Imagery Consulting services require professional preparation before the scheduled appointment.
Advance work may include review of questionnaires and assessments; personal-brand research; market and trend research; image, style, color, or body-proportion analysis; visual-language development; mood-board creation; wardrobe research; garment or accessory sourcing; shopping preparation; campaign planning; creative-concept development; review of photographs or brand assets; coordination with collaborators or vendors; and preparation of recommendations or presentation materials.
Once advance work has begun, the amount associated with completed work may be non-refundable.
Cancellation of a scheduled meeting does not eliminate the client's responsibility for work already performed, approved expenses, sourced items, vendor commitments, or non-recoverable costs.
Any non-refundable retainer, preparation fee, project milestone, or other non-refundable amount will be identified through the applicable service description, checkout page, invoice, proposal, or client agreement.
Client Responsibilities
Clients are responsible for providing complete, current, and accurate information.
Depending on the service, this may include contact information, measurements, photographs, questionnaires, lifestyle information, brand information, project objectives, deadlines, inspiration images, wardrobe details, budgets, approvals, or other requested materials.
Requested information must be submitted by the stated deadline.
Late, incomplete, inaccurate, or missing information may delay the service, reduce the amount of work that can reasonably be completed, or require an appointment to be rescheduled.
A delay caused by the client does not automatically extend a project timeline or create eligibility for a refund.
Photographs, Documents, and Client Materials
Clients should submit only photographs, documents, brand assets, inspiration materials, and other content that they own or have permission to share.
Clients are responsible for obtaining any necessary permission from photographers, designers, employers, collaborators, brands, or other rights holders.
Submitted information will be used to prepare and deliver the booked service in accordance with the Imagery Consulting Privacy Policy.
Imagery Consulting is not responsible for recommendations affected by incomplete, inaccurate, outdated, altered, or poor-quality client materials.
Measurements and Fit
When a service involves measurements, wardrobe recommendations, garment fit, tailoring, shopping, or sourcing, clients are responsible for providing accurate measurements and promptly communicating relevant changes.
Measurements supplied remotely by the client are treated as client-provided information.
Clothing sizes and fit vary among designers, manufacturers, garments, fabrics, and production years. A size recommendation therefore does not guarantee a particular fit.
Final purchasing and tailoring decisions remain the client's responsibility unless otherwise stated in a separate written agreement.
Virtual Appointments
For virtual appointments, clients are responsible for accessing the correct meeting link, having a reliable internet connection, using functional audio and video equipment when required, and accessing any necessary software before the appointment.
Clients should join from an appropriate and reasonably quiet environment and have requested materials available during the session.
Clients experiencing technical difficulties should contact Imagery Consulting as soon as possible.
When a significant technical issue is caused by Imagery Consulting or the designated meeting platform, Imagery Consulting may offer an extension, credit, or complimentary reschedule.
Technical issues involving the client's device, internet connection, software, or environment may be handled according to the standard cancellation and rescheduling terms.
Recording and Use of Session Content
Clients may not photograph, record, livestream, reproduce, publish, sell, distribute, or otherwise share a session without prior permission from Imagery Consulting and everyone participating.
Written guides, reports, mood boards, strategies, presentations, analyses, and recommendations provided by Imagery Consulting are intended for the purchasing client's personal or internal business use unless a separate license or agreement states otherwise.
Clients may not resell, reproduce, teach, distribute, publish, or commercially exploit Imagery Consulting materials without written authorization.
Results and Professional Judgment
Imagery Consulting provides analysis, recommendations, strategy, styling guidance, wardrobe direction, creative consultation, and related services based on professional judgment and the information available at the time of service.
Specific personal, professional, financial, publicity, audience, career, sales, brand, or creative outcomes are not guaranteed.
Client decisions, implementation, purchases, public response, market conditions, third-party performance, and project results remain outside the complete control of Imagery Consulting.
Recommendations are intended to support informed decision-making and authentic visual expression. Clients retain responsibility for final decisions and implementation.
Project-Based and Extended Services
Booking a paid appointment reserves the scheduled appointment or consultation only unless expressly stated otherwise.
Services involving creative direction, campaign development, wardrobe sourcing, shopping, styling, production, travel, collaborators, vendors, multiple sessions, or extended consulting may require a separate proposal, scope of work, project timeline, invoice, retainer, project agreement, usage license, expense authorization, or cancellation schedule.
When a signed service agreement contains terms that conflict with this general booking policy, the signed agreement will control for that specific engagement.
Third-Party Costs and Purchases
Clients are responsible for approved third-party expenses associated with their service.
These may include clothing, accessories, shipping, delivery, tailoring, rentals, photography, videography, hair and makeup services, studio fees, locations, travel, vendor fees, production expenses, or rush charges.
Third-party expenses may remain non-refundable even when a client cancels or changes an appointment.
Returns and exchanges are subject to the applicable retailer's or vendor's policies. Imagery Consulting does not guarantee that a retailer, designer, rental company, or other third-party provider will accept a return or issue a refund.
Changes Made by Imagery Consulting
If Imagery Consulting must cancel or substantially change a paid appointment, the client may be offered a complimentary reschedule, eligible service credit, or refund of the affected appointment payment.
Refunds do not include completed work, delivered materials, approved third-party expenses, or services already provided.
Imagery Consulting is not responsible for indirect expenses or losses resulting from a schedule change, including travel, lodging, missed work, vendor charges, production expenses, or lost opportunities, except when otherwise required by law or agreed in writing.
Conduct and Right to Refuse Service
Imagery Consulting reserves the right to refuse, pause, discontinue, or end a service because of unsafe conduct, threatening or abusive behavior, harassment, discrimination, fraud, illegal activity, repeated policy violations, inappropriate requests, nonpayment, material misrepresentation, or conduct that prevents the service from being performed professionally.
Refund eligibility in these circumstances will depend on work already completed, expenses incurred, time reserved, and the circumstances under which the service was discontinued.
Third-Party Booking Platforms
Appointments may be scheduled through the Imagery Consulting website, Wix, Google, Facebook, Instagram, or another authorized booking link.
These platforms may facilitate access to the booking system, but the professional service itself is delivered by Imagery Consulting.
The booking details, payment terms, service-specific conditions, and policies displayed during checkout and included in the confirmation apply to the appointment.
Clients should use the Manage Booking, Cancel, or Reschedule link included in their confirmation whenever available.
If information displayed on a third-party platform appears inconsistent with this policy, clients should contact Imagery Consulting before the applicable cancellation deadline.
Refund Processing
Approved refunds will generally be returned to the original payment method.
Processing times vary depending on the payment processor, card issuer, financial institution, and booking platform.
Transaction fees, processing charges, currency-conversion fees, or other amounts that cannot be recovered by Imagery Consulting may be deducted when legally permitted and properly disclosed.
Acceptance of Policy
By completing a booking or submitting payment, you acknowledge that you have reviewed and accepted this Paid Appointment & Consulting Session Booking Policy.
You also agree to any applicable service-specific terms displayed on a service page, checkout page, proposal, invoice, or signed agreement.
Nothing in this policy limits any consumer right or remedy that cannot legally be waived.
